Office Assistant Job Summary



  • The Somalia Program Support Services (SPSS) contract implemented by IBTCI provides evaluation services and program support for the USAID/East Africa/Somalia Office. IBTCI is seeking a Office Assistant to provide daily administrative support to its field office located in Nairobi, Kenya.

  • The Office Assistant will provide and execute administrative and operational support to SPSS activities.The Office Assistant will be seated at the front desk and will be responsible for answering phones and greeting visitors.


Description of Responsibilities



  • Answering phones

  • Greeting visitors

  • Organizing and coordinating meetings

  • Collates and prepares meeting notes

  • Develops/ refines management and administrative procedures for use throughout SPSS

  • Provide logistical and operational support as needed

  • Assist in ensuring that all program documents are appropriately filed and organized on networked drives

  • Coordinate daily activities to include maintaining and scheduling the calendar

  • Assist in the orientation of new employees

  • Expertly manage assigned task lists and coordination of various tasks


Qualifications for Office Assistant Jobs



  • Bachelor’s Degree required

  • One to two years of previous work experience (concurrent with education, summer internships/jobs, etc.)

  • Experience and/or familiarity with international development preferred

  • Excellent written and oral communication skills

  • Excellent interpersonal skills

  • Well-organized, attentive to detail, skilled in setting priorities and meeting deadlines, and able to handle multiple tasks simultaneously

  • Works well independently and in teams; pro-active in anticipating work requirements and problem solving

  • Mastery of word processing, spreadsheets and presentation software (Microsoft Office); and experience with using and researching the Internet


Language:

Command of English and Somali Language required
